Authorize department heads

You can authorize the head of department to view the data of their employees (Employee card) and the dossier entries stored for the employee. You can use restrictions per document type in the employee dossier to block individual types for the head of department.

 

The head of department must be a user. Together with your administrator or your partner, enter the corresponding standard authorization roles (SWS-*; usually only read rights assigned).

 

The setup continues in the Employee card in the Department field. Assign the manager to the relevant department.

 

Switch to the user setup and select the two columns Department Permissions and Employee No.. Enter the head of department under User ID, tick the Department authorizations box and enter their Employee No. in the Employee No. column.

 

The head of department now has access to their employees' Employee card and can view the content. They also have access to their employees' employee dossier.

 

In the employee dossier, in the Document type column, you can select the Access responsible person column. Place a tick next to the document types that the person responsible may also view.

You have defined the following document types:

- Curriculum vitae

- Pay slip

- Salary certificate

- Reporting

- Medical certificates

 

You want to grant the head of department access to all document types, but not to the medical certificates, as these contain data that is particularly sensitive. In this case, please check the box in the Access responsible person column everywhere except for the medical certificates type.
