Record

Employees can record in the report their data like time, absences, expenses, etc. on a daily basis.

 

The Month view functions are explained in greater detail in the table below. The Week and Day views only differ in a few items, which are explained below.

Resident of Hamburg button

The three lines at the top left corner of the mask are called the ‘Resident of Hamburg button’.

This function can be used to display the group rows (report rows) marked as ‘hidden’ (by SwissSalary) in the EasyRapport group settings.

They are often group rows not used regularly like Maternity/Paternity or Military.

Inserting dimensions

If you need to carry out input for projects, cost centres or cost units, additional dimensions can be displayed via the Resident of Hamburg button.
 
If provided, the corresponding dimension for ‘Expenses and allowances’ can also be added directly in this view.

Employee selection field

In this field, the endorser has the option of viewing the report mask of the employees assigned to them. The endorser can select their employees using the dropdown menu or by manually entering names and personnel numbers.

Selecting ‘Month’

You can select ‘Year’ and ‘Month’ in the dropdown menu.
The ‘left’ and ‘right’ arrows can be used to change the display between forwards and backwards. The current setting of whether you are working in the ‘Month view’, ‘Week view’ or ‘Day view’ has a significant impact here. You will ‘scroll’ depending on which view you are working in. In other words, by clicking ‘left’ or ‘right’ in the Month view, you select the month before or after the current view. You select the week in the Week view and the day in the Day view.

‘Day button’

By clicking this button, you are always taken back to the most current view.

‘Month view’ selection

The report mask is displayed in the Month view.

‘Week view’ selection

The report mask is displayed in the Week view.

‘Day view’ selection

The report mask is displayed in the Day view.

The ‘Release for approval’ button

Employees release here data for approval. It then appears to the endorser in the approval mask.
 
Data records are colour-coded depending on their status:
 
blue = recorded

green = released for approval

black = approved or already posted

‘Timestamp' button

When you press the ‘Add time stamp’ button, the current PC time is entered in the ‘Daily report’ row (came/left).

‘Export’ button

The list can be exported (Excel, PDF, CSV).

‘Switch to approval mask’ button (symbol: opposing arrows)

The endorser has the option of switching between the two views ‘Report mask’ and ‘Approval mask’.

Input mask

The structure of the report mask corresponds to the EasyRapport group stored by SwissSalary in the respective Employee card for the employees. The Admin settings also influence the report mask design.
 
For example, whether times like Came / Left (daily report) recorded. If so, they can be entered manually or via the ‘Timestamp' button.
The majority of data records are manually entered directly into the relevant field.

Batch processing

It is possible to enter holidays, for example, as a batch. To do this, left-click the date of the start day with the mouse button and then drag to the right to the end date. The detailed input mask will open where the required target hours can then be entered.

Multiple input

In some rows, several entries should be made per field. This is the case, for example, if the attendance time input is not carried out via a daily report but directly on a dimension.  By clicking the corresponding field, you activate the ‘+’ sign. This function allows input of several data records in one field.

‘Copy week’ button

In addition to the functions from the ‘Month’ view, entire weeks can be copied in this view.

 

The procedure is as follows:
 
View is the week to be copied. If you then click the ‘Copy weeks’ button, you must select the last day of the week into which data must be copied.

 

Important: The copy function only works if no previous data was recorded (and then deleted) in the week in which data records are to be made.

‘Add entry’ button

This view is split into the ‘Entries’ (time recording for projects or cost centres, absences, expenses, etc.) and ‘Time of day’ (attendance time input) categories.
 
The ‘Entries’ data input is done via the ‘plus sign’ by selecting the corresponding group row. The time of day can be entered directly in the corresponding fields or are automatically transferred if the time is recorded using the Add stamp button.
