Write carry forward absence

Public holidays and company holidays stored in the working calendar can be automatically transferred to the reporting (TapBoard/Report journal).

This means that these absence types do not need to be reported manually, but already appear as default in TapBoard or Report journal.

 

To do this, automatic absence report is activated in the ‘Automatically carry-forward absence’ field in Payroll Setup -> tab ‘Setup’ -> ‘Auto Employment/Resignation’ area.

 

Next, the respective report journal must be determined for each Allocation Group in which future public holidays and company holidays should be automatically stored according to the working calendar (default journal: Auto-ABS). The report journal, in which these carried forward balances are booked, can be defined for each accounting area.

 

If these requirements are met, public holidays pre-entered in the working calendar are entered in the corresponding payroll journal by clicking the ‘Actual calendar’ or ‘Whole calendar’ button.

 

- Actual calendar = only the holidays present in the current working calendar are transferred to the payroll journal

- Whole calendar = holidays across all working calendars are transferred to the corresponding payroll journal.

 

Important: Run this function every time you change or create a new working time calendar.

 

Absence reports will be automatically correctly changed if the procedures below are observed:

 

- If the ‘percents by position’ are changed via TimeMachine, the holidays are posted from the effective date on the basis of the percents by position entered.

- If the value previously entered is changed in TimeMachine, the holidays are correctly changed based on the previously valid percents by position.

- If the value is deleted in TimeMachine, the holidays are posted based on the last valid percents by position.

- If only the ‘valid from’ date is changed in TimeMachine, the holidays are posted correctly.

- If there are several entries in TimeMachine, the holidays are posted correctly.

- If there are several entries in TimeMachine and the last entry is deleted, the holidays are posted correctly.

- If there are several entries in TimeMachine and the ‘middle’ entry is deleted, the holidays are posted correctly.

- If there are several entries in TimeMachine and the ‘Workgroup’ is changed for the employee, the holidays of the new working time calendar are posted correctly.

 

NOTE:

Only absences are written for months that have not yet been posted.
